PonyBuy Spreadsheet FindPartner guide to finding the item

After you order

Nine numbered steps, and only the first one is about finding anything

PonyBuy splits the process into five purchase steps and four parcel steps. The split matters more than the numbers: everything up to step five is about getting an item into a Chinese warehouse, and everything after is about getting a box out of the country.

Between the two halves there is a pause that can last up to 90 days, and that pause is where consolidation saves you money.

The first payment: the item, and getting it to the warehouse

You pay for the item plus the seller domestic delivery to the PonyBuy warehouse. On the confirmation page we captured, that domestic line read zero, which is normal for sellers advertising free postage inside China and is not a rule.

The checkout page shows the country it thinks you are in and the payment methods available there, along with a handling fee where one applies. Nothing about international shipping is included at this stage.

This is also the last screen where changing your mind is free.

What the order confirmation is actually asking you

Three things on this page deserve a second look. The grey Chinese line under the title is the variant you selected. The Remark column, marked with a pencil, is a per item note rather than an order wide one. The value added services column is where Extra Photo lives.

The reminder at the bottom of the page is worth quoting: after placing and paying, you wait for the seller to dispatch, and only once it is stored in the warehouse can you submit an international shipping order.

The middle: purchase, inspection, storage

This is the part you do not do anything during, apart from reading messages.

  1. PonyBuy buys it from the seller

Their staff place the order and pay the seller. If they need something from you they will say so by email or message, and you can reach them through order enquiry in the meantime.

  2. It arrives and gets inspected

Quality inspection is carried out at the warehouse and photographs are taken for you to look at. The official guide states that items purchased from 1688 are covered by a different set of quality control standards.

This is the stage that produces the photographs you will look at, and the last one before storage starts.
  3. It sits in storage for up to 90 days, free

Counted from the point the item status becomes stored. Buying more things during this window and sending them together is the main way people reduce freight per item. The guide also notes that items left past the window without a response are treated as abandoned, so it is a deadline as well as a benefit.

  4. You choose what travels together

Select stored items, fill in delivery details and pick from the services offered for your destination. Some items are restricted to certain delivery types, and additional services such as removing packaging, reinforcing the parcel or adding insurance are requested in the remarks at this point.

The second payment

A deposit, then a correction

International shipping starts as a deposit calculated from the estimated weight of the goods, the service you chose and the destination. The final charge is calculated from the weight and size the shipping company verifies, and any difference is returned to your PonyBuy account after the parcel goes out.

Two consequences. A deposit is not a price, so do not budget from it. And a seller who left the weight field blank has made the first estimate less accurate, which is one reason those empty fields are worth noticing.

The last stretch, and what nobody promises

Once it is out, the parcel page shows the stages: pay for international shipping, wait for receipt, delivered, and a sharing step afterwards. Weight, volume, service and destination are all listed against each parcel.

The official guide is unusually direct about the risk here: accidents can happen during international shipping including delays, confiscation, taxes, damage and missing packages; PonyBuy cannot control or prevent events while the parcel is with a third party courier or customs, and does not guarantee the service quality of companies it is not affiliated with.

We quote that rather than softening it, because any guide that promises you more than the agent promises itself is making the promise up.

Frequently asked questions about the order flow

Can I add something to a parcel after paying the deposit?

Once a parcel is submitted it is being packed. Add items during the storage window instead, which is exactly what the 90 days are for.

Why is there a handling fee at checkout?

Payment methods carry different processing costs and the page shows them separately. The figures move, so read the current page rather than any number quoted on a guide site.

What happens if the final shipping cost is lower than the deposit?

The difference is returned to your PonyBuy account after the item ships, according to the official guide.

Do I get photographs automatically?

Inspection photographs are part of the process. Additional photographs are a paid value added service chosen on the order page.

Who pays import tax?

You do, and it is set by your own country. Nothing PonyBuy or this guide does changes that.

How to read the QC photos, starting from what they do not cover

Inspection photographs arrive after the item reaches the warehouse, and most people look at them the way they would look at a product listing: is it nice. That is the wrong question, because the official inspection scope is narrower than the photographs make it look, and the gap is where disputes come from.

The policy is quotable on both halves. Inspectors look at the outside of the thing, and sizing is read off the product's label and tag rather than measured. Then a Tips section names three things that fall outside altogether: Color difference, size error, use effect. Hold the two halves together and the practical meaning is narrow. Someone confirms a tag reads XL. Nobody puts a tape across the chest to see whether that XL matches the chart you were reading when you ordered.

Anything electronic is narrower still. Sealed packaging is not opened, so whatever is supposed to be inside stays unconfirmed, and the article is blunt that nobody switches the device on. Clean photographs of a sealed carton prove that a carton turned up. They prove nothing about what happens when you plug it in.

A working order for the photographs, then. Count what is there against what you ordered. Zoom the label and read it against the option you picked, not against the option you wanted. Marks and tears belong to the inspector, so say something straight away if you see any. After that, stop: shade, fit and function remain open questions, and the only remaining decision is whether you are content to answer them at home. If the answer is no, the moment to ask for an extra photograph has already gone past, because it sat in the remark box before the buyer went shopping.
